As the Event and Fundraising Manager, your main task will be to successfully deliver OKFest on time, within budget and within scope. To this end, you will have the responsibility of fundraising and budgeting, volunteer recruitment and scheduling as well as marketing and communications and you will lead a dedicated project team.

Responsibilities

Fundraising

The main responsibility of the Event and Fundraising Manager in the initial months  of the project will be to secure funding for the project. The fundraising will be done in collaboration with the CEO and the fundraising team. The task will include:

  • Fundraising from individuals, trusts, local government, public funding bodies and the corporate sector   
  • Trust and Foundation fundraising research  
  • Writing and submitting funding applications
  • Negotiating sponsorship deals

Leading up to OKFest, your tasks will switch to managing the event preparation:

Festival Management & Marketing

  • Preparation and management of festival budget and spending
  • Hiring staff and contractors for various event related activities (event management & production, communications, etc.)
  • Liaison with both internal and external partners and sponsors involved in the festival
  • Work with external suppliers, agencies, venues to drive down costs and negotiate best rates/ availability
  • Curating OKFest agenda and action track
  • Volunteer management, including recruiting, communicating with, scheduling shifts for and managing the volunteer team
  • Ensure that appropriate and compliant risk assessment, accessibility and health and safety procedures are in place and implemented at the event
  • Complete full event evaluations and to make and implement improvements identified

Project planning and management

  • Develop a detailed project plan to monitor and track progress
  • Coordinate internal resources and third parties (communicate effectively and engagingly with a wide range of specialists, academics, funders, software developers, researchers and more, on a day to day basis) for the flawless execution of projects
  • Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques
  • Measure project performance and impact using appropriate tools and techniques
  • Ensure all deliverables and success measures are met or exceeded
  • Report and escalate to management as needed
  • Create and maintain comprehensive project documentation"
