Summary:
"The Journal Editorial Office (JEO) as a whole are responsible for taking manuscripts through the peer-review process, working with internal colleagues across the Publishing team, external customers including authors, reviewers and editors, and outsourced vendors. A key focus of the JEO is customer service, and it is part of the Coordinator’s role to help improve service standards and help meet operational KPIs.
Responsibilities
Operations
- Guidance of submissions through the process of peer review, ensuring procedures are conducted without delay and in accordance with given turn-around times
- Quality Assurance; maintain service levels for journal performance
- Second level support; including query escalation and, providing supervision and mentoring to vendors, streamlining and documentation of vendor and JEO policies/records (Confluence, JFlow)
- Assist in the optimisation of workflow processes, providing support to the team manager
Communications
- Ensuring maintenance of contact with all stakeholders world-wide: Editorial Board Members, In-house Editors, Reviewers, Authors (phone, e-mail)
- Contribute and communicate as part of a global team
- Representation to internal colleagues and external customers; providing training, offering presentations, acting as a go-to source of information
Technical
- Set-up, re-configuration and feature analysis of Peer Review System for scientific journals
- Coordinate with our software vendor to improve software functionality, submit feedback on beta site testing, report technical errors (JIRA)
- Interpret data reports and conduct statistical analyses
- Integration of innovations, tools and editorial services into the peer review process (e.g., iThenticate, manuscript screening services, Transfer Desk)
The Ideal Candidate
- Interest in journals publishing, sound knowledge of peer-review process
- Excellent English language, further languages at proficient level are beneficial
- Excellent intercultural skills
- Organisational skills; planning, controlling, prioritising, excellent time-management
- Pro-active, demonstrates methodical problem solving
- Communication skills; assertive, customer-oriented, ability to work in a team
- Strong analytical skills, confident preparing tables and spreadsheets
- Demonstrates precision when handling data, excellent attention to detail"
